Job Post: Special Events Coordinator

PURPOSE

 PWA has a mission of engaging people living with HIV/AIDS in enhancing their health and well-being through practical and therapeutic support services and broader social change; inspiring them to live into their dreams and discoveries. We are currently seeking a dynamic and highly motivated person to assist in the execution of our signature fundraising event: The Friends For Life Bike Rally (6-Day Ride from Toronto to Montreal).

 

ACCOUNTABILITY

 The Special Events Coordinator reports to the Development Manager. This is a full-time unionized position (40 hours per week, some evenings and weekends required) with a starting salary of $57,129 per year, with increases each year and full benefits after a probationary period.

This position will work on a hybrid model combining at-home and in-office hours, with in-office hours increasing as the Friends For Life Bike Rally event approaches. The Coordinator is also required to attend the Bike Rally from Aug 4th-11th, 2024, travelling in a vehicle from Toronto to Montreal. 

 

KEY RESPONSIBILITIES

Event Promotion, Marketing and Community Engagement (70%)

1.      Work to establish year-round 2SLGBTIQ-focused Bike Rally events, including a Cycle Club, winter spin classes, socials, and outdoor rides in the Spring/Summer. This includes branding, messaging, marketing, and recruiting new members.

2.      Support all aspects of external marketing, communication and community engagement for the Friends for Life Bike Rally fundraising event and the Bike Rally Cycling Club.

a.      Manage organizational social media accounts and strategy.

b.      Attend community and partner events to promote the Bike Rally and Cycling Club.

c.       Build and expand relationships with 2SLGBTIQ and allied cycling clubs, sports organizations and social groups.

3.      Execute a comprehensive recruitment plan to promote the organization to potential participants and partners, and maximize public awareness of the Friends For Life Bike Rally and Cycling Club.

4.      Build relationships with corporate affinity groups (Pride / DEI committees, cycling groups, etc.) to recruit corporate teams for the Bike Rally (esp. Port Hope 100K event). Collaborate with the rest of the development team to leverage these relationships to expand Bike Rally sponsorships.

 

Event Logistics Support (30%)

1.      Support logistics work including bookings, permits, reporting, reconciliations, license applications, and liaison with suppliers.

2.      Ensure high quality and meaningful donor, volunteer, and participant engagement.

3.      Produce analysis of data, activities and event reports as requested.

4.      Help update and manage the database, including the entering of new records and updating of existing records, tracking of donors, issuing of receipts and thank you letters.

 

KNOWLEDGE, SKILLS & ABILITIES

1.      Strong understanding and knowledge of the complexity of issues relating to HIV/AIDS;

2.      Strong understanding and knowledge of anti-Black racism, anti-Indigenous racism, anti-oppression, greater and meaningful involvement of people living with and affected by HIV/AIDS (GIPA/MIPA), harm reduction, sex positivity and trauma informed care;

3.      Lived experience of HIV/AIDS, 2SLGBTIQ, BIPOC, substance use, mental health challenges, homelessness, and/or the effects of poverty is an asset.

4.      Excellent interpersonal skills and ability to build effective relationships within the 2SLGBTQ+ community, with Steering Committee members and the public at large.

5.      Excellent volunteer management and program coordination skills;

6.      Demonstrated success building, cultivating and stewarding new relationships

7.      Success in driving results by working collaboratively and cooperatively with staff and volunteers

8.      Superior organizational, planning and record keeping skills with demonstrated adaptability.

9.      Strong written and oral communication skills as well as the ability to engage the public.

10.  Establish and maintain positive working relationships with others, both internally and externally, to achieve the goals of the agency.

11.  Enthusiastic and creative with a positive attitude

12.  Verbal and written fluency in French an asset

13.  Good working knowledge of Microsoft Office Suite, Raisers Edge, TeamRaiser, Hootsuite, Canva and Monday.com is an asset.

 

QUALIFICATIONS

1.      Two to five (2-5) years experience in event planning, marketing, communications, fundraising, social media management, sales, or equivalent combination of education and experience.

2.      Lived or work experience within Toronto’s gay community and/or the greater 2SLGBTQ+ community is required.

3.      Experience in the cycling industry/community is considered an asset.
